Challenge

At the Pennsylvania Convention Center, Advanced Staging Productions, a member of the Event Production Network in the Philadelphia market, was brought in to support a complex live event that required both technical precision and strong coordination behind the scenes.

The PCMA Convening Leaders Conference, a global event of meeting and event professionals, called for hundreds of feet of truss and 76 rigging points across multiple event environments, all of which had to be fully installed within a single day before the main load-in could begin.

For event planners, a compressed schedule like this can quickly create risk. When rigging must be completed on a tight deadline, even minor delays can ripple through the rest of the production timeline, affecting labor, vendor coordination and show readiness. In this case, success depended on installing a large and highly technical infrastructure quickly, accurately and in full alignment with every team involved.

  • Completing all rigging and truss installation within a single working day so the broader event load-in could stay on track.
  • Managing 76 rigging points with precision across a large convention center footprint.
  • Supporting multiple event environments, including a main stage, entertainment stage and ASL interpreter stage, each with its own technical requirements.
  • Coordinating eight vendor groups spanning scenic, logistics, multiple union labor departments and audio, video and lighting teams.
  • Designing a backstage environment that was polished, intuitive and fully functional for VIPs, talent and production staff.

To protect the timeline, the budget and the overall attendee experience, the client needed more than technical expertise. They needed a production partner that could bring structure to complexity and confidence to every step of the process.

Solution

Advanced Staging Productions approached the project with a detailed pre-production strategy centered on accuracy, efficiency and centralized oversight. In addition to standard production plots, the team created a detailed rigging plot diagram that mapped every rigging point using precise X and Y coordinates. This gave the onsite crew a clear execution plan before installation even began.

Using that diagram, the team pre-marked the convention center floor with exact point locations using visual markers. This eliminated guesswork in the field and allowed the in-house union crew to move quickly and confidently. With each point clearly identified in advance, teams were able to divide and work simultaneously across the space, accelerating installation while maintaining a high level of accuracy.

Rigging and Technical Execution

Backstage Design and Organization

Advanced Staging Productions also created a backstage environment that elevated the overall production. Centralized Project Management

One of the project’s biggest strengths was Advanced Staging Productions’ decision to assign a single Project Manager as the primary point of contact for the client. With eight vendor groups and multiple labor and technical teams involved, this structure simplified communication and kept every moving part aligned.

For event planners, a single point of accountability can make a major difference. Rather than managing updates across multiple partners, the client had one experienced lead overseeing the full scope of the production, coordinating across departments and resolving issues quickly and clearly.
