Before the First Cue: How AV Partners Solve Problems Before They Reach the Stage

September 28, 2026

When an unexpected challenge arises during a live event, an experienced audiovisual team is often the first call for a solution. Yet some of the most valuable problem-solving an AV partner provides takes place days, weeks or even months before showtime.

By joining the planning process early, production professionals can identify technical conflicts, venue limitations and logistical complications that may not be immediately apparent. They can then develop solutions while planners still have the time and flexibility to evaluate their options.

“Most of the real magic, and effective problem-solving, happens long before the curtain ever goes up,” said Peter Kaiser, Director of Business Development at Royal Productions, an Event Production Network (EPN) member.

Seeing the Challenges Others May Miss

Event planners manage countless details, from programming and registration to food and beverage, transportation and the attendee experience. An AV partner brings a different perspective to the planning table, examining how the creative vision will function within the physical and technical realities of the venue.

“When a dedicated production partner plans your show early, we catch the critical details an event planner might naturally miss,” Kaiser said.

That process includes evaluating high-level technical considerations, such as video signal flow, electrical capacity, audio paths, rigging requirements and equipment compatibility. It also involves seemingly routine logistical details that can have significant consequences, such as loading schedules, doorway dimensions and whether a venue’s freight elevator is large enough to accommodate the equipment.

Experienced AV professionals understand how these elements affect one another. A lighting design may influence audio placement. A scenic element may obstruct a projection path. A room configuration may create poor sightlines or leave insufficient space for backstage production needs.

Identifying those conflicts early gives the team an opportunity to adjust the design thoughtfully instead of making rushed compromises onsite.

“Even in a fast-paced world with shrinking lead times, giving technology this level of careful foresight is what makes a live event a seamless, polished success,” Kaiser said.

Turning a Potential Event-Day Problem Into a Warehouse Solution

Royal Productions recently demonstrated the value of early technical planning when a client envisioned using massive 20-foot blended screens in an event space with 22-foot ceilings, tight rigging conditions and obstructive chandeliers.

On paper, the concept was impressive. Within the room, however, it presented several challenges.

Using 3D spatial rendering, the Royal Productions team discovered that the proposed configuration would block important audience sightlines and make projection impossible under the original layout. Because the issue was identified before equipment was loaded, the team had time to explore alternatives without placing additional pressure on the planner.

Rather than simply telling the client the original plan would not work, Royal Productions designed and tested new rigging solutions in its warehouse.

As Royal Productions Head of Production Cory Costella puts it, “It should be a warehouse problem, not an onsite problem.”

By evaluating the alternatives in a controlled environment, the team could confirm that the revised solution would work before arriving at the venue. This proactive approach protected the client’s vision, reduced setup time and helped ensure that every audience member would have a clear view of the program.

The example underscores an important distinction: A true production partner does more than identify obstacles. The partner arrives with practical, tested solutions.

Early Collaboration Creates More Options

Circumstances can change even with extensive preparation. A schedule may shift, attendance may exceed expectations, a room assignment may change or a speaker may need to participate remotely.

The earlier an AV company understands the event’s objectives, the better prepared it can be to accommodate those changes.

“Bringing an AV partner into the planning process early gives you the lead time needed to stay ahead of the curve and build flexibility right into your event’s DNA,” Kaiser said.

With sufficient time, the production team can develop contingency plans, reserve appropriate equipment and consider alternate layouts. It can also build technical breathing room into the production plan so a change does not create a cascade of new problems.

“When a production team fully grasps your vision from day one, they can map out thoughtful contingencies, ensuring you have the exact gear, layout options and technical breathing room to pivot gracefully if schedules or room setups change,” Kaiser explained.

By contrast, an AV provider brought in at the last minute may be focused entirely on executing the original plan, with limited time, equipment or staffing available to support a different direction. Early collaboration transforms many event-day surprises from high-stress emergencies into manageable adjustments.

A Network of Problem-Solvers

Even the most capable AV company may occasionally need additional technology, labor, local knowledge or specialized expertise. That is where the Event Production Network provides another layer of support.

EPN is an invitation-only alliance of peer-reviewed event production companies that share best practices, technology, labor and solutions across North America. This collaborative model allows members to extend their capabilities and provide consistent support when clients hold events outside their home markets.

Royal Productions experienced the power of that network when another EPN member brought an event to New Orleans. The visiting production company was transporting a 53-foot truck filled with equipment, but the venue was located in the historic French Quarter, where the large vehicle could not navigate the narrow, crowded streets.

Royal Productions stepped in with a solution. The company hosted the truck at its loading docks and transferred the equipment into smaller box trucks capable of reaching the venue.

“The client enjoyed a completely seamless event, unaware of the complex logistics behind the scenes, all thanks to the strength of our EPN partnership,” Kaiser said.

The story illustrates what effective production support often looks like. The audience and client may never see the obstacle, the contingency plan or the collaboration required to keep the event moving. They simply experience a show that works.

That is the value of bringing an experienced AV partner into the process early. The right team not only responds when something goes wrong. It applies planning, preparation and industry expertise to prevent problems, preserve options and create the conditions for a successful event long before the first cue is called.
